Exhibition Stand Builders in Dubai: A 3x4 m Booth Guide

Planning a corporate event? We plan and deliver exhibition stands end to end.
To book a 3x4 m exhibition booth in Dubai, send your builder the confirmed floor plan, show manual, dates, open sides and a written list of display and service requirements. As a planning allowance, start six to eight weeks before opening, then adjust to the organiser's deadlines and the builder's confirmed capacity. That is a recommended working window, not a universal Dubai requirement or a guaranteed delivery time. When comparing exhibition stand builders in Dubai, assess the approved specification and delivery responsibilities, not just the render.

How early should we book a small exhibition stand?
Work backwards from the permitted installation window, not simply the first show day. A three-day exhibition still needs briefing, design decisions, technical coordination, artwork approval, fabrication, transport and dismantling. A quick concept turnaround does not mean the finished booth can be delivered equally quickly.
For a straightforward 12 sq m stand, use this indicative sequence. Stages can overlap, but production should not proceed on unresolved dimensions or unapproved artwork.
- Six to eight weeks before opening: confirm the booked space, stand type, organiser documents, objectives and decision-maker.
- Four to six weeks before opening: agree the layout, materials, displays, lighting and AV. Establish the technical submission route and applicable deadlines.
- Two to four weeks before opening: resolve technical comments, sign off production drawings and print-ready artwork, and confirm service orders.
- Final one to two weeks: complete fabrication checks, test equipment and confirm delivery access, installation staffing and handover.
Treat these as planning targets, not fixed milestones. October and the wider autumn exhibition period in Dubai can put pressure on workshops, equipment and installation teams. For a late booking, request a feasibility check before commissioning design. Simplifying the stand may help, but it cannot remove the show's access or approval constraints.
What should we send before a proposal call?
A useful proposal can start from a written brief. At Purrple Orryx, we use the event requirements to define the scope before developing the production approach. Send the actual allocation drawing rather than saying only '3x4 m': the aisle position, open sides and any existing shell-scheme structure change the solution.
Here is a copy-ready example for a hypothetical three-day corporate exhibition. Replace the assumptions with confirmed details.
- Event and space: show name, exact venue and hall, stand number, opening dates, build-up and breakdown windows. Attach the exhibitor manual.
- Footprint: 3 m frontage x 4 m depth, 12 sq m total, one open side. Confirm orientation and whether the booking is shell scheme or space only.
- Purpose: introduce one product range, qualify enquiries and arrange follow-up meetings. Prioritise short conversations rather than a presentation programme.
- Occupancy: two staff, with space for two visitors at a time. Treat this as a layout target to test, not a certified capacity.
- Display and furniture: one product display, one reception counter, two stools and lockable storage. Supply product dimensions, weights and handling needs.
- Branding and AV: approved logos, brand guidelines, key message, one display screen, content format, lighting preferences and device list.
- Delivery scope: transport, installation, electrical coordination, handover, support during the three show days and dismantling. Name the person authorised to approve changes.
Also identify artwork owners, product arrival dates and procurement steps. If details remain unknown, label them clearly so the proposal separates confirmed scope from assumptions. Our exhibition stand design and build service is the relevant starting point for coordinating this work.
What can realistically fit in a 3x4 m booth?
A 12 sq m footprint is not 12 sq m of usable visitor space. Wall thickness, counters, storage, furniture and equipment all occupy it. Ask for a dimensioned floor plan alongside the render, with doors, cable routes and the visitor approach shown.
For the example brief, place the main brand message on the rear wall, keep the entrance open and position the product display where staff can demonstrate without blocking access. Combine the reception counter with storage where practical. Two stools may suit short discussions better than a separate meeting table.
Agree one primary activity. A booth designed for product demonstrations needs different space from one intended for seated meetings or locked jewellery displays. If every function is treated as essential, the stand can become crowded before a visitor enters.
A screen should earn its footprint. Confirm viewing distance, mounting, playback device, power and whether content needs sound. For small stands, a suitable display monitor may be more practical than an LED wall. Our custom booth options can be considered where product dimensions or display requirements need a different layout.

What do exhibition stand services include?
Exhibition stand services can include design, fabrication, graphics, lighting, AV, transport, installation, show-day support and dismantling, but the agreed quotation determines what you receive. Compare written specifications rather than labels such as 'full service'. Ask each supplier to identify what is included, excluded, optional or supplied by the exhibitor. The table below is a scope checklist, not a promise that every stand package contains every item.
Keep venue services visible. [DWTC's exhibitor services] (https://www.dwtc.com/en/exhibit/services/) list data and telecoms, cleaning, rigging and catering separately, alongside stand design and build services with AV and furniture. Their availability does not establish inclusion in a builder's quotation.
Request an equipment and materials schedule covering wall finishes, flooring, graphic dimensions, showcase specifications, furniture quantities and screen type. State whether daily support means a technician stationed at the booth or someone available on call, including response arrangements and coverage hours.
Before acceptance, record who orders each service, who approves it and who receives confirmation. For a three-day show, clarify opening-day handover, daily checks, cleaning and the final product collection sequence. Stand dismantling should not begin while your stock or equipment remains unsecured.
| Scope area | What to confirm in writing |
|---|---|
| Design and coordination | Layout, renders, revision allowance, production drawings and responsibility for technical submissions. |
| Fabrication and graphics | Materials, finishes, flooring, display units, print sizes and artwork approval. |
| Lighting and AV | Equipment quantities, mounting, cabling, playback, testing and operator requirements. |
| Venue services | Power, internet, rigging where relevant, cleaning and the party placing each order. |
| Transport and installation | Delivery, unloading, access arrangements, installation crew and ready-for-use handover. |
| Show-day support | Coverage dates and hours, on-site or on-call attendance, contact and response arrangements. |
| Dismantling and return | Breakdown, removal, product exclusions, waste handling and return or storage of reusable items. |
What affects exhibition stand cost in Dubai?
Floor area is only one driver. A simple modular structure with standard furniture has a different production path from a custom-built stand with shaped joinery, glass showcases and integrated lighting. Ask the builder to explain which features create extra fabrication, coordination or testing.
- Construction: custom shapes, specialist finishes, raised flooring, storage doors and product-bearing structures.
- Technical requirements: powered displays, multiple devices, network connectivity and equipment needing ventilation.
- Decisions and revisions: late artwork, changed products, delayed purchase approval and additional design rounds.
- Operations: restricted delivery windows, product handling, overnight arrangements and support across all three days.
Power needs a device schedule, not a guess. List screens, laptops, chargers, lighting and demonstration equipment. DWTC's utilities guidance describes power and other utility options and recommends discussing requirements early with its utilities team and stand contractor.
To simplify procurement, retain the essential visitor activity and remove competing features. Standard furniture, fewer finish types, reusable components and one clear graphic message can reduce production complexity. Do not simplify by leaving electrical coordination, safe installation or handover undefined.
What extra checks does a jewellery booth need?
A jewellery display changes the brief even within the same footprint. Confirm showcase dimensions, lock type, key custody, glass specification, lighting and how staff access products. Test representative pieces under the proposed lighting before approving it.
Separate the stand build from stock security. Ask the organiser and your insurer about applicable requirements, and agree who controls products during delivery, opening hours, overnight storage and collection. A lockable showcase is not a complete security arrangement.
Record whether stock stays on site, who opens and closes displays each day, and when products leave before dismantling. Confirm the exact Dubai venue and hall rather than relying on the show name. For an imminent booking, prioritise verified access, display availability and custody arrangements before decorative changes.
FAQs
Can we receive a booth proposal before a call?
Yes, a sufficiently complete written brief can support an initial proposal. Attach the floor plan and show manual, and specify products, open sides, furniture, AV and delivery scope. Unconfirmed requirements should remain stated assumptions rather than appearing as settled specifications.
Can a small stand be booked less than two weeks before opening?
Sometimes, but only after checking supplier capacity, available components, service deadlines and installation access. A simplified modular stand or shell-scheme upgrade may be more feasible than custom fabrication. Do not treat a quick render as confirmation that delivery is possible.
Does a three-day show need a technician at the booth throughout?
Not necessarily. A basic screen and lighting setup may suit agreed on-call support, while live demonstrations or complex playback may need dedicated attendance. Define coverage and response expectations in the quotation rather than relying on the phrase 'technical support'.
What is the difference between shell scheme and space only?
Shell scheme generally provides an organiser-supplied basic stand structure, with inclusions varying by show. Space only generally provides the allocated floor area for your stand build. Check the booking contract before ordering walls, flooring, signage or electrical services that may already be supplied.
Talk to the Purrple Orryx team about your exhibition dates, allocated space and display requirements so we can agree a practical brief and production scope.
