1. Brief and objectives
We start with who is attending, what they should leave knowing or doing, the date, numbers and budget range. That shapes the proposal and shows which decisions come first: usually date, city and delegate count.
2. Venue and date: 3 to 6 months out
For a conference of a few hundred delegates, secure the venue three to six months ahead, and earlier for October to March dates, when Dubai's hotel ballrooms are busiest. We shortlist, run technical site visits and check load-in, ceiling height and breakout space.
3. Programme and design: 2 to 3 months out
The agenda, speaker line-up, stage concept and branding are developed together. Design mockups follow the technical site visit and are refined with your team, so what you approve is what can actually be built in the room.
4. Registration and logistics: 6 to 8 weeks out
Invitations go out and registration opens. Delegate data then feeds badges, seating plans, dietary requirements, hotel rooms and transfers. Speakers receive a brief, a deadline for slides and a rehearsal slot, and we chase every deadline so nothing arrives on the morning.
5. Production and rehearsal: final 2 weeks
The run sheet is locked, content is checked, print is produced and the build is scheduled with the venue. Set-up usually happens the night before or early on the day, followed by technical checks and speaker rehearsals on the stage itself.
6. Show day and wrap-up
A show caller runs every cue from the technical desk while our floor team looks after registration, speakers and catering timings. Afterwards we de-rig, close out suppliers and hand over recordings, photography and registration data where they were part of the brief.
