The brief
A full-service conference in Riyadh, from permits and local setup to registration, guest handling and the show run, for an industry audience that included government representatives.
The challenges
Standout scale or complexity fact
The whole event was run from Dubai. Our Dubai team planned and managed it, and trusted channel partners in Riyadh executed on the ground. Our team travelled only twice: one pre-event visit and one for the event itself.
What made it difficult, unusual or time sensitive
Saudi logistics and timelines move differently from Dubai, and we were not physically on site day to day, so we relied on trusted channel partners. The hotel did not book rooms properly, with lags in room bookings. Permit issues left behind by a previous supplier had to be cleared before we could proceed.
What we did
What Purrple Orryx did to solve them
Handled the permits and managed the local setup end to end. Ran registration, guest management, on-ground handling, conference management and the show run. Managed AV tech, screens and content, speaker management and local logistics (technical setup was delivered with Media Pro, the client's recommended AV partner).
Highlights
- The conference ran extremely smoothly: everybody turned up and there were no AV or logistics hiccups on the final day.
- Eurovent's Managing Director described it as the first industry event in Saudi where people stayed until the very end, with strong feedback from attendees and government representatives.
