Company Year-End Event in Dubai: Awards Dinner or Employee Day?
By Humais Waqar, Marketing Head, Purrple Orryx Events · 2 Nov 2026 · 8 min read

Planning a corporate event? We plan and deliver gala dinners end to end.
Choose an awards dinner if your company year-end event is mainly about recognising performance in front of leadership, and an employee day if it is mainly about thanking everyone, families included. For most Dubai companies the decision comes down to three things: the goal, the headcount and which December dates your people will actually be in the country.

This guide sets out both formats side by side, the 2026 dates to plan around, realistic lead times from late October, the permit points to check and what we need from you to send a proposal. If you have already chosen a format, our other posts cover awards ceremony planning and family days step by step. This one is about making the choice.
Awards dinner or employee day: which one fits your goals?
An awards dinner is a seated evening event, usually in a hotel ballroom or a rooftop venue. It centres on a stage, a host, leadership speeches and a sequence of award presentations between courses. Guests are normally employees only, sometimes with partners, key clients or regional dealers. The tone is formal and the night is built around a handful of moments on stage.
An employee day is a daytime event, often outdoors at a park, beach club or resort lawn between November and March. Families are usually welcome. The programme mixes food stations, activities for adults and children, entertainment and a short stage segment. The tone is relaxed and the aim is that everyone, at every level, feels included.
Choose an awards dinner when:
- Recognition is the point of the event and you have defined award categories and winners.
- Leadership wants a formal platform for the year's results and next year's direction.
- Your headcount is mostly office-based and comfortable with an evening dress code.
- You want to invite clients or partners alongside staff.
Choose an employee day when:
- You want to thank the whole workforce, including site, warehouse or shift teams.
- Many staff have young families and evening events are hard for them to attend.
- The year has been demanding and the message is appreciation rather than ranking.
- Your headcount is large and a seated dinner would need a very big ballroom.
We produce both. See how we approach awards night production in Dubai and corporate family days for each format in more depth.

How do the two formats compare side by side?
The table below sets out the differences that most often decide the format. Use it with your leadership team to agree the goal first, then the format follows.
| Factor | Awards dinner | Employee day |
|---|---|---|
| Main goal | Recognition and leadership message | Appreciation and inclusion |
| Typical guest count | 80 to 500 seated | 100 to 500 including families |
| Time of day and length | Evening, around 4 to 5 hours | Daytime, around 5 to 6 hours |
| Who attends | Staff, sometimes partners or clients | Staff and families, all levels |
| Typical venue | Hotel ballroom or rooftop | Park, beach club or resort lawn |
| Main cost drivers | Venue and menu per head, stage, LED, trophies, videos, host | Venue, activities, tents and shade, food stations, children's zone |
| Production focus | Stage design, lighting, award walk-ons, scripts | Outdoor sound, shade, safety, activity flow |
| Peak-season lead time | 10 to 12 weeks ideally | 8 to 12 weeks ideally |
| Weather risk | Low, indoors | Moderate, best from November to March |
Which December 2026 dates should you avoid?
December is the busiest month for year-end events in Dubai, and two holiday periods shape attendance.
- Wednesday 2 and Thursday 3 December 2026 are Eid Al Etihad, the 55th National Day. They are paid public holidays for private-sector and government staff, and the dates are fixed by Cabinet Resolution, so they will not move.
- Friday 4 December is not a public holiday, but staff who take it as leave get five days off, from Wednesday to Sunday. Expect many people to travel. Avoid the whole week of 30 November to 6 December.
- New Year's Day 2027 falls on Friday 1 January, giving a three-day weekend from 1 to 3 January. Combined with Christmas leave, the last two weeks of December see many expatriate staff out of the country.
That leaves the weeks of 7 and 14 December as the strongest windows. For an awards dinner, Thursday evenings are popular because the next day is a lighter working day for many teams. For an employee day, Saturdays suit families best. Because these dates are in demand across the city, confirm yours with HR and leadership this week.
How far ahead should you book a year-end event in Dubai?
In a normal year we recommend 10 to 12 weeks for an awards dinner and 8 to 12 weeks for an employee day. Dubai's event season runs from October to March, and December ballrooms and outdoor venues are booked first. As of late October, a mid-December event is about six to eight weeks away. That is workable, but only if you decide the format now.
A realistic plan from today for a December event looks like this:
- Week 1: agree the format, two or three date options and an approximate headcount. Ask us to check venue availability against those dates.
- Weeks 1 to 2: hold the venue and confirm the floor plan. For an employee day, confirm shade, power and any tent or staging needs.
- Weeks 2 to 3: finalise award categories and close nominations. Book the host and main entertainment.
- Weeks 3 to 4: approve the stage design, branding and run of show. Order trophies, allowing two to three weeks for custom pieces and engraving.
- Weeks 5 to 6: produce nominee videos, scripts and walk-on music. Collect RSVPs and dietary needs, and for employee days, children's ages.
- Final week: technical rehearsal and a full walk-through with the venue.
Awards dinners carry more creative work, such as videos, scripts and trophies, while employee days carry more logistics, such as activities, safety, shade and family registration. Both need the venue secured first.

Do you need a permit for a private company year-end event?
It depends on the venue, the entertainment and whether the event is open only to invited staff. A private dinner inside a hotel ballroom is often covered by the hotel's own arrangements, while outdoor sites, public spaces and live entertainment can need separate approvals. We confirm the position with the venue at the booking stage, and the event company or venue normally handles the applications, not you.
Free zones add a layer. In DIFC, every event needs a Building Management or Body Corporate NOC and a DET permit from the DET e-permit system before the DIFC Events NOC is issued, and the DET permit then goes to DIFC Specialty Leasing for approval. DIFC also lists a separate DET Entertainment Activities permit, which matters if your awards dinner includes live performers. The process is set out on the DIFC Events NOC page.
A simple permit checklist to raise with your venue and event partner:
- Is the venue a hotel, a free zone, a public space or a private outdoor site?
- Will there be live entertainment, a DJ or performers?
- Are temporary structures planned, such as tents, stages or truss?
- Who submits each application, and what is the processing time?
Can you combine an awards ceremony with a daytime employee programme?
Yes, and for many mid-sized companies it is the best answer. There are two common structures.
- A daytime employee day with a short awards segment on stage in the late afternoon, once children's activities wind down. Keep it to 30 to 40 minutes with the top categories only.
- A daytime programme at a resort, followed by an evening awards dinner at the same venue for staff only, with childcare or family dinner arranged separately.
Outdoors, the awards moment needs proper sound, an LED screen readable in daylight and a stage with shade for winners and leadership. Our event production team in Dubai plans the technical set-up so the day-to-evening changeover runs on time. If you have teams in Saudi Arabia, we can run a parallel version there from Dubai with the same awards content.

What should you send us to get a full-service proposal?
We can prepare a first proposal before any call, and a phone call is fine if you prefer it to video. A full-service proposal for a year-end event normally covers venue sourcing, catering coordination, staging, sound, lighting and LED, awards production such as trophies, videos and the host, entertainment, branding, event staff, setup and dismantling.
To price it accurately, send us:
- The format you are leaning towards, or both if you want a comparison.
- Two or three preferred dates and the latest acceptable date.
- Approximate headcount, and whether partners, children or clients are invited.
- Number of award categories and whether trophies are needed.
- Preferred area or venue type, or a venue you already hold.
- Any brand guidelines and the main message leadership wants to land.
- Who approves the proposal and by when.
FAQs
Is Friday 4 December 2026 a working day in the UAE?
It is not a public holiday. National Day falls on Wednesday 2 and Thursday 3 December, but staff who take 4 December as leave get five days off, so many will travel. We advise against scheduling your year-end event that week.
Can we move our year-end event to January 2027?
Yes. New Year's Day is Friday 1 January, giving a three-day weekend, and Ramadan 2027 falls roughly mid-February to early March, with Eid Al Fitr expected around 9 to 11 March subject to moon sighting. That makes mid-January to early February the practical window, and many companies frame it as a new year kickoff.
Is an event permit the same as an event management licence?
No. A licence relates to the company that organises events, while a permit relates to one specific event at one venue. In practice the event company or venue applies for the permit, not the client.
Which format suits a company of around 150 staff?
Both work at that size. If most staff are office-based and the year is about results, an awards dinner fits well. If many staff have families or work shifts, an employee day with a short awards segment usually gets better attendance.
