Corporate Product Launch Event in Dubai: How It Comes Together

Planning a corporate event? We plan and deliver product launches end to end.
A corporate product launch event in Dubai usually takes 8 to 12 weeks to come together, and it is planned backwards from one moment: the reveal. The venue, the room layout, the permit and the run of show all exist to make those 60 to 90 seconds land for every guest and every camera. This guide sets out how we plan a launch from brief to the moment the curtain drops, including the Dubai details that most service pages skip.

How far ahead should you start planning a product launch in Dubai?
For a hotel launch of 150 to 500 guests, allow 10 to 12 weeks. If the venue is free, a VIP preview for 20 to 50 people can be done in 4 to 6 weeks. Launches of 600 guests or more, outdoor sites, custom fabrication and special effects need 12 weeks or more, because venue holds, approvals and build time all add up.
The Dubai calendar matters as much as the guest count:
- October to April is the cooler season and the peak period for events. Ballrooms and outdoor venues for Thursday and Friday nights in November and December book early, so hold dates as soon as the launch window is agreed.
- The UAE National Day holiday falls on Wednesday 2 and Thursday 3 December 2026. Guests travel, venues fill with celebrations and suppliers are stretched, so keep year-end launches away from that week.
- Ramadan moves about 11 days earlier each year. Launches still go ahead, often after iftar, but timings, catering and entertainment all change, so check the dates before you fix a spring launch.
- From June to September, outdoor daytime reveals are out for most audiences. Move indoors, or start after sunset with cooling built into the plan.
The table below shows how a typical 10 to 12 week launch runs.
| Weeks before doors | What happens | Who signs off |
|---|---|---|
| 12 to 10 | Brief, guest-count band, date and venue holds, reveal concept options | Marketing lead |
| 10 to 8 | Venue contracted, stage and creative design, screen content brief, permit path confirmed | Marketing, venue |
| 8 to 6 | Technical design, reveal method chosen, speakers confirmed, invitations sent | Marketing, communications |
| 6 to 4 | Fabrication starts, draft run of show, media list, permit application filed | Client, agency |
| 4 to 2 | Content locked, cue sheet written, lighting and video pre-programmed, RSVPs tracked | Client, agency |
| Final week | Offsite technical rehearsal, final scripts, load-in plan agreed with venue | All parties |
| Event day | Load-in, line check, reveal rehearsal, doors | Show caller |
Which venue suits a product launch in Dubai, and can it be outdoors?
The right venue depends on the product, the audience and how dark the reveal needs to be.
- Hotel ballroom: controlled light, rigging points, in-house catering and good access. This is the safest choice for reveals that rely on lighting. The limit is time, because load-in and rehearsal access depend on the hotel's other bookings.
- Rooftop or terrace: the skyline does a lot of the work. You do have to plan around sunset, wind limits for drapes and LED, and noise curfews.
- Exhibition centre hall: suits vehicles, machinery or large stands. It is an empty shell, so staging, power, flooring and furniture all come in, and build days take longer.
- Beach or open-air site: possible in the cooler months. It adds approvals, generators, flooring, a weather plan and more lead time.
- Yacht: suits small VIP previews only, with limited space for AV and staging.
If the product is heavy or large, check floor loading, door widths and goods lift sizes before anything else. Our product launch events page shows the formats we produce across the UAE and Saudi Arabia.

How does guest count change the room?
The same product needs a very different room at 50, 300 or 1,000 guests.
- 20 to 50 guests (VIP preview): one room and a product on a plinth, with no stage needed. A host with a handheld microphone and one screen at most is enough. The reveal can be a cloth pull or a lighting change.
- 100 to 300 guests (dealers, media, partners): a low stage, a central LED wall or two side screens, and clear sightlines from a theatre or cocktail layout. Add a media riser so cameras can shoot over heads.
- 500 to 1,000 guests (full launch): a higher stage, a main LED wall plus delay screens for the back of the room, line-array sound, several registration points, a press area and a separate VIP holding room.
Arrival flow is often underestimated. As a working rule, plan one registration point for every 100 to 150 guests arriving in a 30-minute window. Keep the main room closed until the call to seats, so the first time guests see the stage is when you want them to.

What makes a product reveal work first time?
A reveal is a sequence of cues, not a single effect. A typical sequence runs like this: house lights down, a music sting, a video countdown on the LED wall, haze and moving lights building, the curtain dropping or the LED wall splitting, the product hit with a key light, the presenter walking on, then the photo moment.
Common reveal methods include:
- A kabuki drop curtain, which is simple, fast and works in most ballrooms
- A motorised LED wall that splits or tracks open
- A turntable or rising platform for vehicles and large products
- Projection mapping onto the product or a cover
- A cloth pull by a senior executive for smaller rooms
Confetti, cold sparks and pyrotechnics are decided by the venue first. Many hotels restrict them indoors because of fire detection and clean-up. Where they are allowed, they need written venue sign-off and a qualified operator, so raise them in week one rather than week ten.
Rehearsal time is usually the tightest constraint. At the Franck Muller Vanguard launch for London Gate at The Ritz-Carlton DIFC, with 600 to 1,000 guests, the reveal could only be rehearsed in the room one hour before doors. That is common at busy hotels, so the heavy work has to happen before load-in:
- An offsite technical rehearsal using the same lighting console, playback and reveal mechanism
- Lighting and video cues pre-programmed and time-coded to the music
- A written cue sheet, with one show caller giving every cue
- A backup reveal agreed in advance, such as a manual curtain release or a lighting-only reveal
- The in-room hour used only for focus, timing and presenter marks
You can read how that evening was delivered in the Franck Muller Vanguard launch case study. Sound, lighting, LED and staging are part of our event technical production on every launch.
What does a product launch run of show look like?
Here is a sample run of show for a 300-guest evening launch in a hotel, with doors at 19:00.
- 18:00 Final reveal check, presenters on their marks, room closed
- 19:00 Doors open, registration, welcome drinks in the foyer, product hidden
- 19:40 Guests called into the main room, with holding music and a voice-of-God announcement
- 19:50 House lights down, opening film, host welcome
- 19:55 Leadership speech of five to seven minutes
- 20:05 Reveal sequence of 60 to 90 seconds
- 20:07 Presenter walkthrough of the product
- 20:20 Media photo call with spokespeople and the product
- 20:30 Guests get close to the product, with demos, dinner or canapés, and entertainment
- 22:00 Interviews close, the product is secured and guests leave
Three things protect the reveal. Keep the speeches before it short. Tell the media where to stand before the lights go down. Agree who guards the product from load-in until it leaves the building.

Who applies for the event permit, and what happens if plans change?
Dubai's Department of Economy and Tourism says a permit is required for any venue or organiser running entertainment, sport, charity, religious or business events, and applications go through its e-Permit portal. Hotels, malls and restaurants can also apply for entertainment activity permits through the same portal. In practice, the first job is to agree in writing whether the venue, the agency or the client files.
- Once a permit is approved and the fees are paid, DET issues it within five business days. Build that into the timeline.
- Registering on ePermits needs a trade licence copy, a passport copy of the event coordinator for venue accounts, and an NOC plus Emirates ID for the system user. Each file can be up to 10 MB.
- Changes to the date, the venue or the performers have to be updated on the permit through the ePermit portal. Late changes to the line-up are the usual trigger.
- Ticketed launches need a Ticketed Event permit first, followed by an approved ticket seller or registration provider. Most corporate launches are invitation only.
- Events in TECOM free zones are permitted by the Dubai Development Authority, not DET, and the contractor makes the request. Other free-zone venues may sit under their own authority, so confirm the permit path with the venue in week one.
FAQs
Should media, dealers and VIPs see the launch together or separately?
One event with separate zones works when the message is the same for everyone. If media need an embargo or one-to-one interviews, or dealers need pricing and training, split the day into sessions on the same set, for example media in the morning, dealers in the afternoon and VIPs in the evening. Each audience still gets a full reveal, and you pay for the build once.
Can a branded stage backdrop be designed and built in four weeks?
Usually yes, if the design is approved within the first week and the backdrop uses printed fabric, a framed set or LED content. Complex fabrication with special finishes, moving parts or large reveal mechanisms is tight in four weeks, so simplify the build and put the drama into lighting and video.
Can you give an estimate before a call, and what should we send?
Yes. Send the date or window, a guest-count band, the venue or preferred area, the product's size and weight, your reveal idea, the audience mix and your media plans. Brand guidelines help too. We can share our company profile and references before we talk, and a phone call works as well as a video call.
Do performers or presenters at a launch need permit approval?
Performers are managed on the event permit through DET's ePermit portal, and any change to them has to be updated there. Confirm your line-up early and treat any late swap as a permit amendment, not just a booking change.
