How to Choose an Event Production Company in Dubai

Planning a corporate event? We plan and deliver event production end to end.

The right event production company in Dubai is the one that surveys your venue before it quotes, gives you one technical lead from first site visit to load-out, and can show you the drawings, the crew list and the show plan, not just an equipment list. Sound, lighting, LED and staging are only half the job; the other half is the planning that makes them work in a specific room, on a specific night, inside the venue's rules.

Most corporate buyers in Dubai meet production companies in one of two ways: through an event agency that brings its own technical team, or by going direct when they already have a venue and need the stage, screens and sound. Either way, the questions below will tell you quickly whether you are talking to a production partner or an equipment rental desk.

What does an event production company actually do?

An event production company designs, supplies, installs and operates the technical side of an event. For a corporate conference, gala dinner, awards night or product launch in Dubai, that usually covers:

  • Sound: the PA system sized to the room and guest count, microphones for speakers and panels, playback, and an engineer mixing live on the night.
  • Lighting: stage wash and key light so presenters look right on camera, moving heads and effects for walk-ins and awards, and room lighting that changes between dinner, speeches and the party.

  • Staging and set: the stage deck, risers, steps and ramps, set walls, branding and lecterns, often built in a workshop before the event. See our event fabrication and setup work.
  • Rigging and truss: the structure that holds lights, speakers and screens above the stage, hung from the venue's rigging points or ground-supported where the ceiling cannot take the load.
  • Power and cabling: distribution from the venue supply, or generators for outdoor sites, with cables routed and covered so guests and service staff can move safely.
  • Show management: a technical director, a show caller who runs every cue from the run of show, and operators for sound, lighting and video.

The equipment matters, but the planning matters more. A good production company will produce a stage plan, a rigging plan, a power plan and a cue sheet before anything arrives at the venue.

Event production company or AV rental: which do you need?

If you need two speakers and a projector for a meeting room, an AV rental company is enough. Once the event has a stage, a run of show and an audience above 100 guests, you need someone who owns the outcome, not just the kit. The difference shows up in what each one hands you.

Many buyers need both at different times. We run full event production in Dubai for staged events and supply audio visual and lighting equipment on its own when a client already has the rest of the event covered.

What should you ask an event production company before you hire them?

These questions separate the teams that have done this many times from the ones that will learn on your event:

  1. Will you survey the venue before you send the final proposal, and who comes on the site visit?
  2. Who is our single technical lead from planning to load-out, and will that person be on site on the day?
  3. Is the crew your own, or subcontracted? Who operates sound, lighting and video on the night?
  4. Can you show us the stage plan, rigging plan and a render of the set before we sign off?
  5. How do you work with the venue's in-house AV supplier, rigging rules and load-in times?
  6. What is the backup if a laptop, a microphone or a section of the LED wall fails mid-show?
  7. Who prepares the drawings and paperwork for permits and venue approvals, and how long do they take?
  8. When is the technical rehearsal, and how long do our speakers get on stage before doors open?

If the answers are vague, or every answer is about the brand of equipment, keep looking.

How early should you book event production in Dubai?

For a conference, gala dinner or awards night in a Dubai hotel ballroom, 6 to 8 weeks gives enough time to survey the venue, design the stage, agree the drawings and rehearse. Shorter is possible for simple setups, but custom sets, large LED walls and complex rigging all need build and approval time.

Outdoor events with a temporary build need longer. Stages, temporary structures and special effects need sign-off from the authorities through the event permit process, and structural drawings for a complex build often go back for revisions, with each round taking a week or two. Plan on around three months for an outdoor event with a full stage and structures.

Dubai's calendar adds its own pressure. October to April is peak season for corporate events, so the best crews, LED stock and ballroom dates book up early, especially in November, December and the weeks before Ramadan. Load-in windows in hotels are also tight: many ballrooms host another event the night before, which means an overnight or early-morning build and a technical rehearsal squeezed into the afternoon.

What changes for outdoor events and venues outside Dubai?

Outdoor events in the UAE run well from late October to April. Outside those months, heat makes daytime builds hard on crews and equipment, and evening events need cooling and shade planned in. For any outdoor production, check that the plan covers:

  • Power: generators sized for sound, lighting, LED, catering and cooling together, with a backup.
  • Wind and weather: ground-supported truss rated for the site, ballast, and a clear rule for when screens and structures come down.
  • Ground and access: how trucks, forklifts and crew reach the site, and what the surface can carry.
  • Brightness: LED walls bright enough for a sunset start, and lighting designed around the moment the sky goes dark.
  • Sound: speaker positions that respect neighbours and venue noise limits.

Venues in Abu Dhabi, Sharjah or Ras Al Khaimah add travel time for crew and trucks and sometimes a different approval process, so ask early whether delivery, installation, dismantling and on-site technical support are all included for out-of-town sites.

What should you send in your brief?

You do not need a technical specification to start. A useful brief for a production company covers:

  • The event type, date and city, and the venue if you have one.
  • The guest count and the room layout you have in mind: theatre, classroom, cabaret or banquet rounds.
  • The programme: speeches, panels, awards, videos, live entertainment, dancing.
  • What needs to be seen and heard, and by whom: remote viewers, a livestream, a photographer or a broadcast camera.
  • Any branding or set ideas, and the brand guidelines.
  • The scope: full production and show management, or equipment with technicians only.

With that, a short call is enough for a production team to come back with options that fit the room and the programme.

What is the difference between an event management company and an event production company?

An event management company runs the whole event: venue, guest experience, catering, entertainment, logistics and the budget. An event production company focuses on the technical delivery: sound, lighting, LED, staging, rigging and show operation. Some companies, including ours, do both, which means one team owns the plan from the first brief to the last cue.

Can we use our own production company in a Dubai hotel?

Usually yes, but most hotels have an in-house AV partner and rules for outside suppliers, such as rigging limits, approved riggers, insurance and set load-in times. Some charge an outside supplier fee or require their own technician on site. Ask the venue for its technical rules before you sign, and share them with your production company.

How long does it take to set up a stage and LED wall in a ballroom?

A standard conference or gala setup with a stage, LED wall, lighting truss and sound typically takes 8 to 12 hours, plus a technical rehearsal. Larger custom sets, multiple screens or complex rigging can need a full day or an overnight build before the event day.

Do we need a permit for an event stage in Dubai?

Events in Dubai are approved through the event permit process, and stages, temporary structures and special effects may need extra sign-off from the authorities, including Civil Defence for fire safety. Inside a licensed hotel ballroom, the venue's existing approvals cover much of this. Outdoor builds and public spaces need more paperwork and more time, so your production company should prepare the drawings and documents early.
