A workable run of show for a 300-guest corporate gala dinner in Dubai fits into about four and a half hours, from doors at 7pm to the last song at 11:30pm, with speeches before the main course, awards in one block after it and entertainment timed around the kitchen. The run of show is the one document everyone works from on the night: the MC, the show caller, the banquet captain, the sound, lighting and LED crew, the entertainers and the client team. When it is vague, the night drifts. Speeches overrun, the main course sits under heat lamps while a video plays, and the last awards are handed out to a half-empty room because guests have moved to the bar.

What does a gala dinner run of show include?

Every line of a run of show answers five questions: what time it starts, how long it lasts, what happens on stage, what happens on the floor, and which cues the technical team fires. The floor column is the one most often missing. It tells the banquet team when to serve, clear and pour, so that waiters are not crossing in front of the stage during a speech or an award.

A full version also carries the names of everyone who walks on stage, the microphone each person uses, the walk-in and walk-up music for each moment, the video or slide that plays on the LED wall, and the lighting state. It is a working document, not a summary for the client. The summary version goes in the client's pack; the detailed version stays with the show caller and the technical desk.

What has to happen before doors open?

Most hotel ballrooms in Dubai give access for the build either the night before or from early morning on the day, depending on what was booked in the room the previous evening. Staging, LED walls, truss and lighting go in first, then furniture and table settings, then a full sound and video check. A 300-guest gala with a stage, an LED wall and an LED dance floor typically needs most of a day to build safely, so confirm the access time in the venue contract, not by phone.

The technical rehearsal happens in the afternoon, with the MC and, ideally, every speaker and presenter. Even one hour covers microphone levels, walk-on routes, video playback and the lighting state for each award. Speakers who skip rehearsal are the ones who walk to the wrong side of the stage or start talking before their slide is up. How long should the reception be?

Forty-five minutes is enough for 300 guests to arrive, collect a drink and find colleagues. Dubai traffic means some guests will always be 20 minutes late, so the reception absorbs that without delaying the room. Go past an hour and guests fill up on canapes, lose energy and start leaving before the awards.

Calling 300 people into a ballroom takes about 15 minutes. Use a chime, a short MC announcement and open every door at once. Put table numbers on the photo wall or on screens at the entrance so guests do not crowd the seating chart.

Why do speeches go before the main course?

Attention is highest in the first 20 minutes after guests sit down. That is where the host address belongs. Keep it to one speaker and under ten minutes before food arrives. A second speaker can go into the stage moment between starter and main course, but two back-to-back speeches before the starter will push every later course and the kitchen will not wait.

Ask every speaker for their script or talking points at least a week ahead, time them aloud, and agree a signal from the show caller if they run long. A speaker who knows they have exactly eight minutes usually finishes in eight.

How do you time dinner service around the stage?

A seated dinner for 300 is usually around 30 tables of ten. A hotel banquet team serves and clears a course across that room in roughly 10 to 15 minutes, which is why nothing important should happen on stage while plates are moving. Agree with the banquet manager exactly when each course leaves the kitchen, and give the banquet captain a radio on the show caller's channel so service and stage move together.

Use the gaps instead. While the main course is being plated, a short act, a video or a table game holds the room. During the main course itself, the stage goes quiet, the music drops and the MC steps off. Guests want to eat and talk, and they will talk over anything you put on stage.

How long should the awards block take?

Allow three to four minutes per award, including the announcement, the walk-up, the handover and the photo. Ten categories fit into about 40 minutes. If there are more than 12, split them into two blocks either side of the main course, or present the smaller categories at the tables and keep the stage for the headline awards.

The details that keep the block moving: a different short walk-up track for each winner so energy does not flatten, winners seated near the aisles, trophies lined up off stage in presentation order, every name and pronunciation confirmed with the MC in rehearsal, and the photographer fixed at one spot at the stage edge. Who runs the show on the night?

One person calls every cue: the show caller, sitting at the technical desk with the full run of show and a headset to the sound, lighting and LED operators, the stage manager, the banquet captain and the MC. The MC presents, but the show caller decides when the next moment starts. A client contact with authority to make decisions should sit with or near the show caller, so changes are approved in seconds, not by a phone call across the room.

Plan the overrun before it happens. If the night runs late, the dance floor gives up time first, then any interactive stage moments. The awards block and the main course do not get rushed, because those are the parts guests and senior leaders remember.

When do Dubai timings change?

During Ramadan, a corporate gala usually becomes an iftar or suhoor and the whole schedule moves to sunset or late evening, with no entertainment that would be out of place. Outdoor and beach venues often have a cut-off time for amplified sound, so confirm the music end time in writing before you plan the dance floor. The UAE working week runs Monday to Friday, which makes Thursday and Friday nights the most requested dates, and they book out first in the October to March season.

For dates between October and March, three to six months ahead is safer, and earlier for December, when ballrooms are booked for year-end parties. Summer dates are easier to secure but most corporate galas avoid July and August.

How many awards can fit into one gala dinner?

Ten to twelve awards fit comfortably into one 40 to 45 minute block. Beyond that, split the awards across two blocks or present some at the tables.

Should the CEO speak before or after dinner?

Before. The host address works best right after the opening, when the room has just sat down. After the main course, attention drops and guests are waiting for the awards and entertainment.
