How to Plan a Corporate Family Day in Dubai

A corporate family day in Dubai works best when you lock the date and venue three to four months out, choose a date between November and March, and plan the day around zones for different ages rather than one long programme. Get those three decisions right and most of the other choices, from shade to catering to staffing, follow from them.

We plan corporate family days for companies across Dubai and the UAE, most of them for 100 to 500 guests. This guide covers the questions buyers ask us most: when to hold it, where, what to put on the programme, what the permit and safety side involves, and how long it all takes.

What is a corporate family day?

A corporate family day is a company-hosted event where employees bring their partners and children for a few hours of food, activities and entertainment. It is usually a daytime event on a weekend, and it sits somewhere between a staff appreciation event and a community day.

For HR and internal communications teams, it does a job an office party cannot. It lets families see the company, and it reaches employees who skip evening events because of childcare. That is why the guest list matters from day one: a company with 200 staff can easily be planning for 450 people or more once partners and children are counted.

When is the best time to hold a family day in Dubai?

The comfortable outdoor window runs from November to March, when daytime temperatures are mild and humidity is lower. October and April can work with a late-afternoon start and strong shade. From May to September, plan indoors or in a fully air-conditioned structure.

Before you fix a date, check it against:

• School term dates and mid-term breaks, when many families travel.
• Ramadan and Eid, when working hours, schedules and guest availability all shift.
• UAE National Day in early December and the mid-December to early January holiday period, which is busy for venues and quiet for attendance.
• The weekend itself. Saturday usually suits families best, with Sunday a close second.

Most family days run for four to six hours. In winter a late-morning start covering lunch works well. In the shoulder months, move to a mid-afternoon start that runs into the evening and avoids the hottest part of the day.

Which venues work for a corporate family day in Dubai?

The right venue depends on guest numbers, the month and how much control you want over the layout. These are the options we see used most often.

If the site has no built cover, a temporary structure solves both shade and weather. Whatever the venue, walk it at the same time of day the event will run, because sun angle, shade and wind change a lot between morning and afternoon.

What activities should a family day include?

Plan by age group first, then add a few shared moments that bring everyone together.

• Toddlers (under 4): soft play, a sensory corner and a shaded quiet area with seating for parents, plus a baby-change and feeding point.
• Children aged 4 to 12: inflatables, face painting, craft tables, mini sports and a magician or stage show.
• Teenagers: gaming zones, sports tournaments, photo challenges and a DJ booth.
• Adults: team tournaments such as football, cricket or tug of war, a lounge area, food stations and live music.

Shared moments give the day a shape. A short welcome from leadership, a stage show, a prize draw and a closing performance are usually enough. Keep speeches to a few minutes: families came for the day, not a presentation.

Think in zones rather than a tight schedule. Put the children's zone near toilets and first aid, keep the food court central, and place the stage where its sound will not drown out the toddler area. Let families move between zones at their own pace and use the stage for two or three fixed moments.

What permits and safety arrangements are needed?

For events in public or commercial spaces in Dubai, event permits go through the Department of Economy and Tourism (DET), and separate approvals apply for things like amplified sound, fireworks or road access. Hotels and established venues often cover much of this under their own licences, which is one reason they are popular for family days. Start permit applications at least four weeks before the event, and earlier for large or public-space events.

On the safety side, a family day with children needs more planning than an adult event of the same size:

• On-site medical cover sized to your guest numbers.
• A registration or wristband system that links each child to a parent's phone number, plus a clearly marked lost-child point.
• Trained supervisors at every children's activity and certified operators for inflatables and rides.
• Shade, water stations and misting fans for any outdoor time.
• Public liability insurance from the organiser and each activity supplier.
• Backup power for sound, lighting and cooling.
• A heat and weather plan agreed in advance, with an indoor or covered fallback.

How far ahead should you start planning?

For 100 to 500 guests, start three to four months out. In peak season from November to March the best outdoor venues and entertainers book early, so four to six months is safer if you want a specific Saturday.

• 4 to 6 months out: agree objectives, a rough guest count and date options, then brief your event partner.
• 3 months out: confirm venue and date, and lock the concept and activity mix.
• 2 months out: book entertainment and suppliers, start permits and open registration.
• 4 weeks out: close registration, confirm numbers and children's ages, and finalise the layout and run of show.
• 1 week out: brief every supplier, run the safety briefing and check the forecast.
• Day before: build, sound check and safety checks on every activity.

Registration data is the most useful planning tool you have. Ask for the number of children and their ages. That single question decides how many supervisors you need, how much soft play to book and what food to order.
